GLAAD operates with support from foundations, corporations and individuals from every corner of the United States. Our highly skilled team of more than 50 staff work out of our Headquarters in New York and an office in Los Angeles, and support our expanded reach through multiple chapters across the country. Over the past several years, GLAAD has achieved rapid and significant growth and currently has an annual operating budget of approximately $12 million.

The Opportunity

GLAAD is seeking an Executive Assistant. This position reports to the Chief Development Officer and VP of Corporate Relations and Events  and will require using a variety of skills, to assist in the preparation of letters and presentations, spreadsheets, department agendas, compiling reports, organizing digital filing, creating weekly department agendas  and assisting with special event planning

The Development EA will work closely with the team to fully utilize methods of efficient processing, follow-up, and payment for all auction revenue streams associated with events and corporate relations. This position will be part of a national team responsible for raising $8,000,000+ in event, corporate, grants, major donor and membership revenue annually, with the goal to significantly increase revenue in coming years.

Key Responsibilities

  • Manage Master Budgets related to all events, business development, and licensing deals
  • Managing calendars and coordination of meetings 
  • Provide project support to the Events & Development team sincluding, but not limited to: corporate research, proofreading/editing, logistics, mailings, drafting correspondence, filing and maintaining extensive database contacts
  • Setting up meetings, conference calls, coordinating travel, agenda development, drafting reports, expense reports and meticulous file and binder upkeep for events, vendors, contracts/billing, and EVP of Development's personal binders
  • Collect and organize individual team status reports, call lists, and trackers to be reviewed weekly by the Chief Development Officer and VP of Corporate Relations and Events
  • Assist with general office tasks (photocopying, answering phones, faxing, etc.)
  • Process and reconcile Development departmental invoices in a timely and organized manner
  • Willingness to work evenings, weekends, and events as needed
  • Other tasks as assigned

Experience | Education:

  • Bachelor’s degree required and/or at least 2 years of experience in a similar role
  • Ability to work independently with a high level of initiative and collaboratively within a team
  • Commitment to GLAAD’s mission and to achieving results
  • Demonstrate drive, flexibility, and the ability to work productively under multiple deadlines, where unanticipated external and internal events can shift priorities
  • Outstanding organizational and administrative skills to effectively juggle and track multiple projects, responsibilities, and deadlines
  • Excellent writing, research, and proofreading skills; strong attention to detail and deadlines
  • Strong communication and interpersonal skills
  • Ability to remain calm and productive under pressure and shifting of priorities
  • Strong MS Word, Outlook, Excel, and PowerPoint skills
  • Effective online research and social media skills
