Volunteering at the GLAAD Media Awards
2003 GLAAD media awards > volunteer opportunities


Please review the descriptions below of our different volunteer needs for the MEDIA AWARDS, and contact Ruben Gonzales indicating which activities and city you wish to volunteer for. E-mail Ruben at volunteers@glaad.org. Ruben or other workers will get back to you as promptly as they can. Some are volunteers just like you so it may take a few days to get a response. Please be patient.

The Media Awards are made up of several volunteer committees comprised of many hard working and dedicated individuals.

Volunteers for the Night of the Event (and the day before)
Volunteers for the event are responsible for various duties the day of the event: check-in, set-up, gift bags, silent auction needs and greeting.

Auction
The auction committee develops the concept for the live, silent and/or cyber auction, solicits the items and assists with the administration of the auction the night of the event. Each auction committee has 2 co-chairs and should have 10 committee members.

The auction in each city can take the form of a live, silent or cyberauction.

The auction committee will do the leg work for soliciting items.

Committee Responsibilities:
* Meet twice a month to touch base and monitor progress for meeting revenue goals
* Develop a prospect list
* Work with the Talent Committee to get celebrity items
* Make requests and follow-up calls to prospective donors
* Work with Auction Administrator to be sure items are logged and tracked properly
* Assist the day of the event with setting up and taking down the auction
* Ensure items are delivered and picked up

Nominations
The nominations committees are subdivided into media specific categories such as Television/Film, Magazine, Newspaper, TV Journalism, TV Talk/Daytime, Interactive, Comic Book, Theater, etc. The committees meet regularly throughout the fall and review all the necessary material in their category. With the guidance of the Nominations co-chairs, the event co-chairs and Nick Adams, they narrow down the list to five potentials to be approved by the GLAAD Board of Directors.

Committee Responsibilities:
* Review all pertinent material
* Meet bi-weekly to discuss and select nominees
* Obtain original copies of all nominated pieces
* Committee Co-Chairs must attend nominations co-chair meeting to discuss their nominee selections
* Provide brief descriptions of each nominee for the program book
* Obtain pertinent nominee contact information to be sure that the appropriate person is notified of the nomination
* Work closely with the Corporate Committee to be sure all nominees receive Corporate/Ticket information

Production
The concept for the eveningŐs program is conceived by the event co-chairs, GLAAD Staff and the production committee. The production committee works with the volunteer producer, writer and video editor to create the show and must work closely with the talent committee to coordinate the solicitation of talent and use of available talent. Ideally, the members of the production committee will have experience and contacts in the area of performance production, script writing or video editing.

Committee Responsibilities:
* Meet monthly and then bi-weekly starting in February
* Develop a show-flow
* Develop a script
* Work closely with the talent and video committees to ensure all elements are integrated into the show
* Work closely with the producer prior to and during the show

Video
The video committee is responsible for viewing pertinent material (gay themed work from the previous year and nominated pieces) and pulling video clips to give to the editor for the opening clip reel and the nominations reels. The video committee helps develop the concept and/or running theme for the video part of the evening. The committee will work closely with the editor throughout the editing process.

Committee Responsibilities:
* Acquire video footage
* View footage and select clips
* Work with Media Award Co-Chairs, GLAAD Staff and Production Committee to develop concept and theme for video elements including logo animation and title animation
* Solicit volunteer editing, artistic and technical assistance

Program Book
The program book committee is a national committee with 2 co-chairs. They coordinate the process of getting the different elements of the book written, acquiring the photographs and getting it to the editor and designer. This committee works closely with the Nominations Committee to get nominations and other text for the book and with Levy, Pazanti, our events company handling logistics, to get items to the designer and printer.

Committee Responsibilities:
* Work with the Nominations, Table Host, Auction, Talent Committees and GLAAD Staff to be sure text is received by the editor on time
* Write text for the Special Honorees
* Work with Levy, Pazanti & Associates to be sure that print deadlines are met
* Work with Ad Sales representatives and Levy, Pazanti & Associates to track ad sales and receipt of ads

Table/Seat Host
The committee does outreach to previous table hosts and builds a list of prospects to approach. The committee works with the Special Event Managers and the Event Company to produce the event kick-off party about 2 months out from the event. The committee follows up with the table hosts to be sure they send out their invitations and fill their table. The committee needs to be willing to use their own rolodex as well as GLAADŐs to build a list for the event.

Committee Responsibilities:
* Meet monthly, Bi-weekly starting in January
* Meet goals for attendance including VIP seats and general admission
* Develop a table host prospect list and follow-up with that list
* Follow-up with previous table hosts
* Work with Levy, Pazanti & Associates to ensure that letters go to potential table hosts on time
* Along with the Special Events Manager, plan the Media Awards kick-off party
* Work with Levy, Pazanti & Associates to be sure that the Table Hosts receive their invitations
* Follow-up with table hosts to be sure they are sending out their invitations and filling their tables

Talent
The talent committee is a national committee with members in each city. The co-chairs are national and work with the committees in each city to solicit talent and work with the production committee in various cities to place the talent in the shows.

Committee Responsibilities:
* Along with Media Awards Co-Chairs, GLAAD Staff and the Production Committee develop a prospect list for presenters and performers
* Follow-up with potential talent
* Coordinate talent asks between cities
* Coordinate celebrity travel
* Work with GLAADŐs communication department to ensure proper use of talent in the press room
* Coordinate flow of talent at the event

Volunteer Committee
The volunteer co-chairs are responsible for recruiting and training volunteers for the day of the event and various pre-event functions. Check-in, Press, Set-Up, Silent Auction needs, and greeters are some of the duties volunteers do at each event.

Committee Responsibilities:
* Work closely with all of the committees to identify volunteer needs
* Recruit volunteers
* Train volunteers
* Manage volunteers the night of the event
